Create and manage policy acknowledgment campaigns to distribute policies to users
Campaigns are the mechanism for distributing policies to users and tracking their acknowledgments. A campaign links a policy document to specific users or groups, sets deadlines, and automatically sends notifications. Once published, users receive the policy in their My Workspace and can acknowledge it, with all activity tracked for compliance purposes.

Creating Campaigns
Navigate to Create Campaign
Go to Policy Acknowledgement → Campaigns → Click "Create Campaign" or use the button on the dashboard.
Enter Campaign Details
Fill in the campaign information:
Clear, descriptive name (e.g., "Q1 2025 Security Policy Acknowledgment")
Optional description of the campaign's purpose
Select the policy document to distribute from the dropdown
Set Campaign Dates
Configure when the campaign starts and ends:
- Start Immediately: Toggle to start the campaign as soon as it's published
- Start Date: Select a specific start date and time
- End Date: Set the deadline for acknowledgments
- Duration: Alternatively, set duration in days, weeks, or months
Assign Users or Groups
Select who should receive the policy:
- Click "Add Users/Groups" to open the assignment selector
- Search and select individual users
- Select groups (external groups from your identity provider)
- You can assign both users and groups to the same campaign
Configure Notifications
Set up automated email notifications:
- Send Welcome Email: Notify users when enrolled (enabled by default)
- Reminder Interval: How often to send reminders (default: every 3 days)
- Days Before Due: Send urgent reminder X days before deadline (default: 2 days)
- Send Completion Email: Confirm when user acknowledges (enabled by default)
- Custom Message: Optional message to include in campaign emails
Save and Publish
Click "Create Campaign" to save as a draft. To send the policy to users, you must "Publish" the campaign. Once published, users will receive notifications and the policy will appear in their My Workspace.

Send Welcome Email
Automatically send an email when users are enrolled in the campaign
Reminder Interval
3 daysSend reminder emails every X days (default: 3 days)
Days Before Due
2 daysSend urgent reminder X days before the deadline (default: 2 days)
Send Completion Email
Send confirmation email when user acknowledges the policy
Custom Message

Managing Campaigns
Viewing Campaigns
Navigate to Policy Acknowledgement → Campaigns to see all campaigns. The table shows campaign name, policy, status, progress, assigned users, and dates. Use search and filters to find specific campaigns.
Editing Campaigns
Click "Edit" on a draft campaign to modify its settings. Published campaigns have limited editability (cannot change policy, start date, or assignments). You can still update description, end date, and notification settings.
Publishing Campaigns
Once a campaign is created, click "Publish" to send it to assigned users. Publishing triggers welcome emails and adds the policy to users' My Workspace. You can also manually send policies to additional users after publishing.
Viewing Campaign Details
Click on a campaign to view detailed information including acknowledgment progress, user list, analytics, and management options. The detail page shows completion rates, pending acknowledgments, and allows you to track individual user status.
Ending Campaigns
When a campaign ends (reaches its end date), it automatically transitions to archived status. You can also manually end a campaign early. Ended campaigns can no longer receive new acknowledgments, but historical data remains for compliance reporting.
Campaign-Level Settings
Require View Before Acknowledgment
When enabled, users must view/open the policy document before they can acknowledge it. This ensures users have actually seen the policy content.
Allow Late Acknowledgments
When enabled, users can acknowledge policies even after the campaign end date. This is useful for tracking late acknowledgments for compliance purposes.
Auto-End Campaigns
When enabled, campaigns automatically end at the specified end date. When disabled, campaigns remain active until manually ended.
Best Practices
Set realistic deadlines that give users sufficient time to read and acknowledge policies
Use clear, descriptive campaign names that indicate the policy and timeframe
Test campaigns with a small group before rolling out to all users
Configure reminder intervals that balance urgency with not overwhelming users
Use custom messages to provide context and explain why the acknowledgment is required
Monitor acknowledgment rates and adjust notification settings if needed
