What are Settings?

The Settings page allows administrators to configure default behaviors, notification preferences, compliance options, and email templates for the Policy Acknowledgement module. These settings apply as defaults to new campaigns but can be overridden at the campaign level.

Navigate to Settings

From the sidebar, click on "Policy Acknowledgement""Settings".

The settings page displays all configurable options organized by category. Review current settings before making changes.

Review Settings

Scroll through each section to understand the current configuration. Settings are organized into logical categories for easy navigation.

Update Settings

Modify settings as needed:

  • Toggle switches for boolean settings (on/off)
  • Enter numeric values for intervals and thresholds
  • Edit email templates in text areas
  • Add or remove escalation recipients

Save Changes

Click "Save Changes" to apply your updates. The button will be enabled only when you have made changes. After saving, new campaigns will use these default settings.

Reset to Defaults

If needed, click "Reset to Defaults" to restore all settings to their original values. This action cannot be undone.

Configure automated notification preferences

Email Notifications

Enable or disable email notifications for welcome messages, reminders, and completion confirmations. When enabled, users receive emails at key points in the acknowledgment process.

SMS Notifications

Enable or disable SMS notifications for urgent reminders. SMS notifications require additional configuration and may incur costs depending on your SMS provider.

Reminder Schedule

Configure how often reminders are sent (default: every 3 days) and when urgent reminders should be sent before the deadline (default: 2 days before).

Escalation Thresholds

Set thresholds for when escalations should be triggered (e.g., send escalation email if acknowledgment is X days overdue).

Configure default behaviors that apply to all new campaigns

Require View Before Acknowledgment

When enabled, users must view/open the policy document before they can acknowledge it. This ensures users have actually seen the policy content.

Allow Late Acknowledgments

When enabled, users can acknowledge policies even after the campaign end date. This is useful for tracking late acknowledgments for compliance purposes.

Auto-End Campaigns

When enabled, campaigns automatically end at the specified end date. When disabled, campaigns remain active until manually ended.

Default Campaign Duration

Set the default duration for new campaigns (in days, weeks, or months). This value is pre-filled when creating campaigns but can be changed.

Data Retention

Set how long acknowledgment records and audit logs should be retained. This helps meet compliance requirements while managing storage costs.

Audit Logging

Enable or disable audit logging for all acknowledgment activities. Audit logs record when policies are viewed, downloaded, and acknowledged with full timestamps.

IP Address Tracking

Enable or disable IP address capture when users acknowledge policies. IP addresses are stored for compliance and audit purposes.

User Agent Tracking

Enable or disable user agent (browser/device) information capture. This helps identify how users accessed the system for acknowledgment.

Welcome Email Template

Customize the email sent when users are enrolled in a campaign. Include campaign name, policy name, due date, and any custom message.

Customize confirmation emails sent when users acknowledge policies. Thank users for their compliance and provide next steps if needed.
